Booking Terms and Rental Conditions – Bike Rental Policy

Booking and payment

No prepayment is required — nothing is paid in advance. The full rental price, extras, and the refundable security deposit are paid at pickup at the rental location stated on www.doctorbicycles.com , in cash or by card. When paying by card, the client authorises the lessor to charge to the same card any further amounts due under these terms and the rental agreement — e.g. late-return fees or damage compensation exceeding the deposit — always with an itemised statement.

Security deposit (fianza)

A refundable deposit from 100 EUR (depending on the bike category; the exact amount is stated in the rental agreement) is taken at pickup and returned in full when the bike comes back in the condition recorded in the handover protocol, normal wear excepted. The deposit is not insurance and does not limit the client’s liability — compensation exceeding it is paid immediately when the bicycle is returned, in cash or by card.

Pick-up and return

Only the client may use the bicycle; it must not be passed to third parties. Pick-up and return take place at the rental location during the published opening hours (unless agreed otherwise, e.g. hotel delivery). The bicycle must be returned by 6:00 PM (18:00) on the last rental day; a late return is charged as an extra day per the price list. If the client does not pick up the bicycle at the agreed time and does not contact the lessor, the reservation may be cancelled.

Client’s obligations

Liability for damage, loss and theft

The client is liable for any damage, loss, theft, or destruction of the bicycle during the rental, regardless of who caused it — the same model as car rentals: the client settles with the lessor first and then recovers the amount from the party at fault (see below). Liability is limited to the value of the bicycle stated in the rental agreement and does not cover normal wear and tear, defects existing at handover or resulting from the lessor’s maintenance, damage caused by the lessor, or force majeure. No insurance is included in the rental price; we recommend travel insurance covering rented sports equipment — see the Breakdowns, Damage & Liability page.

Damage Protection (optional)

For 6 EUR per bike per day — 8 EUR for bikes with carbon wheels — charged for a maximum of 5 days (at most 30 EUR, or 40 EUR for carbon-wheel bikes, per rental), the client may add Damage Protection when booking or at pickup. It limits the client’s liability for damage to the amount of the security deposit. Damage Protection is a contractual limitation of liability, not insurance, and does not cover theft or loss, intent or gross negligence, prohibited use (unpaved surfaces, riding under the influence), continuing to ride after a crash without the lessor’s approval, or use by a third party — in those cases full liability up to the bicycle’s value applies.

Damage reporting and assessment

Damage and accidents must be reported immediately, at the latest the same day (in person or by phone); late reporting makes the client liable for the consequences of the delay. After any crash the client must stop riding and contact the lessor — carbon parts can hide damage, and only the lessor may assess whether the bicycle is safe to ride. Damage is documented with photographs and a written record (the client may be present); compensation is based on actual repair costs and current parts prices — or the bicycle’s value stated in the rental agreement for destruction or loss — with an itemised written calculation. Amounts above the deposit are paid immediately upon return of the bicycle, in cash or by card.

Damage caused by third parties

The client compensates the lessor under the rules above even when a third party caused the damage, and must help secure evidence: the third party’s identity and insurance details, and a police report. Upon full payment, the lessor assigns its claims against the third party to the client (cesión de derechos) and provides all documentation needed — handover protocol, photographs, damage calculation, repair invoice — within 14 days of request.

Theft

Theft must be reported immediately to the lessor and to the police; the client provides a copy of the police report and compensates the lessor with the bicycle’s value stated in the rental agreement. We strongly recommend travel insurance covering theft of rented equipment.

Breakdowns and technical faults

The lessor does not operate a roadside assistance or recovery service; after a fault the client stops riding, contacts the lessor, and arranges and pays the transport of the bicycle back to the rental location. Repairs are carried out exclusively by the lessor (except fixing a puncture). A fault not caused by the client is repaired free of charge, or a replacement bicycle is provided at the rental location; if neither is possible, the rental fee for the unused days is refunded. Practical steps are on the Breakdowns, Damage & Liability page.

Lessor’s responsibilities

The lessor hands over the bicycle in roadworthy condition, recorded in the handover protocol. If the reserved bicycle is unavailable for technical reasons, the lessor provides a replacement of the same or higher category — or a lower one with a price adjustment, which the client may refuse without any fee. The lessor is not liable for non-fulfilment caused by force majeure (natural disasters, epidemics, armed conflicts, government interventions).

Contract termination and cancellation

The lessor may terminate the contract in the cases specified in the rental agreement or by law. Since no prepayment is taken, the client may cancel free of charge at any time before the rental starts — early notice is appreciated so the bicycles can be offered to other clients.

Data protection

Personal data are processed for contract fulfilment in accordance with the GDPR and Spanish law; details are in the privacy policy on www.doctorbicycles.com .

Governing law, language and validity

Spanish law governs; disputes go to the competent courts of the Balearic Islands unless mandatory consumer-protection rules provide otherwise, and the client’s statutory consumer rights remain unaffected. These terms are published in English (translations are for convenience; the English version prevails), and the rental agreement refers to the version in force on the booking day. Effective from August 21, 2026, replacing the version of April 1, 2025; previous versions are available on request.

Breakdowns, Damage & Liability – Mallorca Bike Rental

What to do if a fault, a crash, or a theft interrupts your ride — and how damage liability works. Doctor Bicycles is a rental service, not an insurance company: no insurance is included or sold, and we do not operate a roadside assistance or recovery service. For breakdown-transport cover, choose travel or cycling insurance with roadside assistance for cyclists. Full terms: Booking Terms and Rental Conditions .

1) If the bike develops a fault

Stop riding as soon as a fault could worsen the damage and call us; repairs are decided and carried out exclusively by us — the only exception is a flat tyre (fixing a puncture is the rider’s responsibility). You arrange and pay the transport of the bike back to the rental location (e.g. by taxi). A fault not caused by you is repaired free of charge, or you get a replacement bike at the rental location; if neither is possible, we refund the unused days.

2) After a crash: stop and call us

Stop riding and contact us even if the bike looks fine — carbon parts can hide damage that fails suddenly, and only we may assess whether the bike is safe. Riding on after a crash without our approval makes you liable for any further damage.

3) Liability for damage

You are liable for damage, loss, or theft of the bike during the rental, regardless of who caused it — the same model as car rentals. You are not liable for normal wear and tear, pre-existing defects, damage caused by us, or force majeure; liability is capped at the bike value stated in the rental agreement.

Optional Damage Protection (6 EUR per bike per day, 8 EUR for bikes with carbon wheels; charged for at most 5 days per rental) caps your liability at the security deposit. It is not insurance and does not cover theft or loss, intent or gross negligence, prohibited use, riding on after a crash without our approval, or use by a third party. You can add it when booking or at pickup.

Security deposit (fianza)

A refundable deposit from 100 EUR (by bike category; the exact amount is in the rental agreement) is taken at pickup. It is not insurance and does not cap your liability — damage above the deposit is paid immediately when the bike is returned, in cash or by card, with an itemised calculation.

How damage is assessed

We document damage with photographs and a written record (you may be present); compensation is based on actual repair costs and current parts prices — or the bike value from the rental agreement for destruction or loss — always with an itemised written calculation.

4) Damage caused by someone else

You settle the damage with us first, and protect your own claim: take the other party’s identity and insurance details and call the police for an official report. Once the damage is paid in full, we assign our claims against the third party to you (cesión de derechos) and hand over everything you need — handover protocol, photographs, damage calculation, repair invoice — within 14 days of your request, so you can recover the amount from the party at fault or their insurer.

5) Bike theft

Tell us immediately, report the theft to the police, and send us a copy of the report; compensation equals the bike value stated in the rental agreement. Always lock the bike when leaving it unattended — a broken lock is key evidence.

6) Recommended: your own travel insurance

We strongly recommend travel or cycling insurance covering damage and theft of rented sports equipment, roadside assistance for cyclists, and liability to third parties — confirm in advance that rented bikes are covered.
